1. Introduction
Welcome to Desi Beats Dance Company Ltd!
These Terms & Conditions govern the use of our services, including dance workshops, wedding choreography, live performances, corporate events, school programmes, hen parties, private lessons and other dance-related services.
By booking or participating in our services, you agree to these Terms & Conditions, subject to your statutory rights.
Please read these terms carefully before making a booking. If you have any questions, we're always happy to help.

2. Services Overview
Desi Beats Dance Company Ltd offers the following services:
Drop-In Dance Workshops: Regular workshops covering Bollywood, Bhangra and other South Asian-inspired dance styles.
Wedding Choreography: Personalised choreography, rehearsals and dance instruction for wedding celebrations.
Live Performances: Professional dance entertainment for weddings, festivals, corporate functions and private events.
Hen Parties: Group dance experiences for hen party celebrations.
Private Lessons: Individual or small group dance instruction.
Private Workshops: Tailored workshops for birthdays, celebrations and other occasions.
School Workshops: Educational and cultural dance workshops for schools and educational institutions.
Corporate Events & Workshops: Team-building workshops, cultural celebrations and live performances for organisations.
Some workshops have maximum participant limits for safety and quality of instruction. These will be communicated when booking.
3. Bookings and Payment
3.1 How to Book
Bookings can be made through our website, online booking system (Bookwhen), email or telephone.
An enquiry or quotation does not constitute a confirmed booking.
For bookings arranged directly with Desi Beats Dance Company Ltd, the agreed date and time are only secured once the required payment has been received and written confirmation has been issued.
Public workshops booked through our online booking system are confirmed once payment has been completed and a booking confirmation has been issued.
3.2 Pricing
All prices are stated in British Pounds (GBP).
Prices may vary depending on the service, duration, location, number of participants, instructor requirements and additional arrangements.
The agreed booking price will be confirmed before payment.
Once confirmed, the agreed price will be honoured unless additional services or changes are requested and agreed.
3.3 Payment Methods
We accept:
Bank transfer
Debit and credit card payments, where available
Cheque, by prior agreement
Cash, by prior agreement
Public dance workshops must be paid for through our online booking system unless otherwise stated.
3.4 Deposits and Booking Confirmation
All bookings arranged directly with Desi Beats Dance Company Ltd require a 50% deposit to secure the agreed date and time, unless alternative payment arrangements have been agreed in writing.
This is our standard booking policy and applies regardless of the type of service being booked.
The deposit forms part of the total booking price and is not an additional charge.
Once the required payment has been received and the booking confirmed in writing, we reserve the agreed date and time and may begin allocating instructors, arranging performers, preparing choreography and making other necessary arrangements.
Customers are welcome to pay the full booking amount upfront.
Public workshops and classes booked through our online ticketing system are excluded from this deposit arrangement and require full payment at the time of booking.
3.5 Final Balance
The remaining 50% balance must be paid no later than 14 calendar days before the scheduled booking date or first booked session, unless alternative payment arrangements have been agreed in writing.
For bookings made within 14 days of the scheduled date, full payment is required at the time of booking unless otherwise agreed.
Alternative arrangements may be agreed for organisations with established invoicing or finance procedures, including schools and corporate clients.
Any agreed variation will be confirmed in writing.
3.6 Late Payments
Payment must be received by the agreed due date.
If payment is overdue, we will contact the customer and provide a reasonable opportunity to settle the outstanding amount.
Where payment remains outstanding, we may suspend preparation, postpone or cancel the booking after providing reasonable notice.
Any cancellation charges arising from non-payment will be assessed in accordance with Section 3.7.
We reserve the right to recover outstanding sums and applicable interest or reasonable recovery costs where permitted by law.
3.7 Cancellation Policy
This section applies to all bookings arranged directly with Desi Beats Dance Company Ltd, unless alternative cancellation terms have been expressly agreed in writing.
Public ticketed workshops are covered separately under Section 4.
3.7.1 Cancellation by the Customer
All cancellations must be submitted in writing to info@desibeatsdance.com.
Once a booking is confirmed, Desi Beats Dance Company Ltd reserves the agreed date and time and may commit resources towards delivering the service.
These commitments can include:
Instructor and performer allocation
Choreography, rehearsal and music preparation
Travel arrangements and associated expenses
Administrative and planning work
Venue or equipment arrangements
Turning away other enquiries or bookings for the same date and time
If a customer cancels a confirmed booking, cancellation charges may apply to recover reasonable costs and losses directly resulting from the cancellation.
3.7.2 Cancellation Charges
The following maximum cancellation charges may apply depending on the notice provided:
More than 30 calendar days before the booking: Up to 50% of the total booking value.
15 to 30 calendar days before the booking: Up to 75% of the total booking value.
14 calendar days or less before the booking: Up to 100% of the total booking value.
These percentages are maximum cancellation charges and are not automatically applied.
The actual amount charged will reflect the reasonable costs and losses resulting from the cancellation.
This may include preparation already completed, instructor commitments, non-recoverable expenses and lost income or profit where the reserved date or time cannot reasonably be filled by another booking.
We will take reasonable steps to reduce our losses, including avoiding costs that have not yet been incurred and considering opportunities to replace cancelled work.
Any charge will take account of costs saved or income recovered. We will not charge twice for the same loss.
Where our reasonable losses are lower than the applicable maximum, the lower amount will apply.
3.7.3 Deposits and Refunds
The booking deposit contributes towards the agreed service fee and secures the reserved date and time.
If a customer cancels, Desi Beats Dance Company Ltd may retain some or all of the deposit where justified by reasonable cancellation costs and losses.
Where the customer has paid the full booking amount upfront, the same cancellation policy applies.
Payment in full does not automatically make the entire amount non-refundable.
Where payments already received exceed the reasonable cancellation charge, the difference will be refunded.
Where justified cancellation charges exceed the amount already paid, the customer may be required to pay the outstanding difference, subject to the applicable maximum and the law.
We will provide a reasonable explanation of cancellation charges upon request.
3.7.4 Rescheduling
If you need to change the date or time of your booking, please contact us as soon as possible.
We will do our best to accommodate changes, subject to instructor availability and existing commitments.
Where an alternative date is agreed, payments already made will normally be transferred towards the rescheduled booking.
Additional costs may apply where rescheduling results in further instructor commitments, travel expenses or preparation work. Any such costs will be discussed and agreed in advance.
If a suitable alternative date cannot be arranged, the standard cancellation policy will apply.
3.7.5 Cancellation by Desi Beats Dance Company Ltd
In the unlikely event that we need to cancel a confirmed booking, we will notify the customer as soon as reasonably possible.
Where the cancellation is our responsibility, we will offer:
A suitable alternative date or replacement arrangement, subject to the customer's agreement; or
A full refund for services we are unable to deliver.
This does not limit any additional statutory rights or remedies available to the customer.
3.7.6 Refund Processing
Where a refund is due, we aim to process it within 14 calendar days of confirming the refund amount, or sooner where required by law.
Refunds will normally be issued using the original payment method or by bank transfer where appropriate.
Nothing in this policy affects your statutory rights.
4. Drop-In Dance Workshops
4.1 Booking and Payment
Drop-in workshops must be booked and paid for in advance through our online booking system.
Payment is required at the time of booking to secure your place.
4.2 Cancellations and Transfers by Participants
We understand that plans change.
If you are unable to attend a workshop, we offer a one-time transfer to another available workshop, subject to the following conditions:
Transfers must be to a workshop of equal or lesser value.
Your credit equals the total amount originally paid, including applicable booking fees.
If you wish to transfer to a higher-priced workshop, we may allow this at our discretion, subject to payment of the difference.
A transfer is offered once per booking.
Repeated transfer requests may be declined where reasonable.
Please contact us as soon as possible if you need to request a transfer.
Where you simply change your mind or can no longer attend, workshop payments are generally non-refundable, subject to applicable statutory rights.
If you do not attend or arrange a transfer, your booking will normally expire without credit.
4.3 Cancellation by Desi Beats Dance
If we need to cancel a workshop due to instructor illness, venue issues or unforeseen circumstances, you will be offered:
A full refund of your workshop fee; or
The option to transfer to another available workshop at no additional charge.
We will notify affected participants as soon as reasonably possible.
4.4 Late Arrivals
Participants arriving late may join where it is safe and does not significantly disrupt the workshop.
Please enter quietly and follow the instructor's guidance.
For your safety and enjoyment, we recommend arriving on time to participate in the warm-up.
4.5 Workshop Eligibility
Some workshops may have specific participation requirements, including age restrictions or women-only sessions.
These requirements will be stated in the booking information.
Participants are responsible for checking that the workshop is suitable for them before booking.
5. Wedding Choreography Services
5.1 Booking and Payment
All wedding choreography and performance bookings are subject to the standard booking and payment terms outlined in Section 3, unless otherwise agreed in writing.
5.2 Choreography and Rehearsals
Wedding choreography packages may include personalised routines, rehearsals, music editing, practice videos and other agreed services.
The number of rehearsals, participants, songs and any other arrangements will be outlined in the agreed quotation.
Additional choreography, rehearsals or significant changes requested after confirmation may incur additional charges, which will be agreed before the work is undertaken.
5.3 Performance Timings and Schedule Delays
Desi Beats Dance will attend and perform at the agreed scheduled time as confirmed in the booking.
Clients are responsible for communicating accurate schedules and ensuring the performance space is available at the agreed time.
Where an event is delayed by more than 15 minutes due to circumstances within the client's control, we will make reasonable efforts to accommodate the revised timing, subject to performer availability.
Where additional instructor or performer time is requested and can be accommodated, an additional fee of £150 per hour or part thereof may apply, subject to agreement.
If time becomes insufficient, we may need to shorten, adapt or rearrange the performance.
Where delays arise from circumstances beyond the client's reasonable control, we will work with the client to find a suitable solution wherever possible.
5.4 Missed or Cancelled Performances Due to Delays
If a scheduled performance cannot take place because of significant delays attributable to the client, we will make reasonable efforts to deliver the agreed service where possible.
Where this is not possible, charges may apply to cover the reasonable costs and losses resulting from the missed performance, taking account of work completed and costs saved.
We cannot guarantee an alternative performance time where the original agreed schedule has been missed.
5.5 Wedding Cancellations and Date Changes
All wedding cancellations and rescheduling requests are subject to Section 3.7.
5.6 Guest Conduct
Clients are responsible for ensuring that guests and attendees behave respectfully towards instructors and performers.
If threatening, abusive, discriminatory, harassing or unsafe behaviour occurs, we reserve the right to pause or stop the performance.
Any resulting refund or charge will be assessed fairly, taking account of the circumstances and applicable law.
The conduct policy in Section 8 also applies.
6. Private Lessons, Hen Parties and Private Workshops
6.1 Custom Quotations
Private lessons, hen parties and group workshops are quoted according to the customer's requirements.
The agreed quotation will confirm the service, duration, location, group size and any additional arrangements.
6.2 Booking and Payment
All bookings are subject to the standard payment policy in Section 3.
6.3 Workshop Content
Private workshops can be tailored to suit the group, including Bollywood, Bhangra and fusion dance styles.
Song requests, choreography preferences and other specific requirements should be discussed before the booking.
We will make reasonable efforts to accommodate requests, subject to suitability, preparation requirements and the agreed service.
6.4 Venue Requirements
Customers are responsible for ensuring that the venue is suitable for the agreed activity.
This includes:
Sufficient clear space for the number of participants
A safe and appropriate floor surface
Suitable access for instructors and participants
Any necessary venue permissions
Appropriate electrical access where required
Sound equipment where this has been agreed as the customer's responsibility
Please inform us of any relevant venue restrictions or accessibility requirements before the event.
6.5 Delays
Workshops and private lessons will take place at the agreed time.
Where a session is delayed due to circumstances within the customer's control, we will make reasonable efforts to accommodate the change, subject to instructor availability.
Additional time may incur further charges where agreed.
Where a delay prevents the agreed service from taking place, any charges or refund entitlement will be assessed fairly according to the circumstances.
6.6 Cancellations and Rescheduling
All cancellation and rescheduling requests are subject to Section 3.7.
6.7 Participant Conduct
Participants must follow reasonable safety instructions and treat instructors and other attendees respectfully.
Desi Beats Dance reserves the right to stop an activity where serious misconduct or safety concerns arise.
Section 8 applies to all participants and guests.
7. Corporate Events and School Workshops
7.1 Custom Quotations
Corporate events and school workshops are tailored to the organisation's requirements.
The agreed quotation will confirm the number of sessions, group sizes, duration, location, staffing and any special arrangements.
7.2 Booking and Payment
All bookings are subject to the standard booking and payment terms in Section 3, unless alternative arrangements have been agreed in writing.
Schools and organisations requiring payment through internal finance procedures must notify us before confirmation.
Any agreed alternative payment arrangements will be recorded in writing.
7.3 Workshop Arrangements
The booking organisation must provide suitable facilities and communicate relevant access, equipment, scheduling and participant requirements.
Any additional services or changes to the agreed arrangements must be discussed and agreed in advance.
7.4 Safeguarding and Supervision
For school workshops, the school or booking organisation remains responsible for the welfare and supervision of children and young people in its care.
Appropriate staff must remain present during sessions unless alternative arrangements have been expressly agreed and are suitable.
Desi Beats Dance instructors will follow applicable safeguarding requirements and relevant venue procedures communicated in advance.
Appropriate DBS checks will be undertaken where required for the role and activity.
7.5 Accessibility and Additional Requirements
Please notify us in advance of accessibility requirements, additional support needs or relevant considerations that may affect workshop delivery.
We will work with the organisation to make reasonable adjustments where possible.
7.6 Delays and Schedule Changes
Organisations are responsible for providing accurate schedules and ensuring that agreed workshop or performance spaces are available.
We will make reasonable efforts to accommodate changes, subject to instructor availability.
Additional time or services may incur charges where agreed.
7.7 Cancellations and Rescheduling
All cancellations and rescheduling requests are subject to Section 3.7, unless different terms have been expressly agreed in writing.
7.8 Participant Conduct
Booking organisations are responsible for maintaining appropriate supervision and supporting safe and respectful participation.
We reserve the right to pause or stop an activity where serious misconduct or safety concerns arise.
The conduct policy in Section 8 applies.
8. Health, Safety and Participation
8.1 Health and Fitness
Dance is a physical activity and may involve movements of varying intensity.
Participants should exercise within their own abilities and follow the guidance provided by instructors.
Please inform us of any relevant injuries, health conditions, pregnancy-related considerations, disabilities or accessibility requirements that may affect safe participation.
If you have concerns about your suitability for physical activity, we recommend seeking appropriate medical advice.
Instructors may offer modifications where suitable.
8.2 Child Participation
Children may participate in suitable workshops, subject to the specific age requirements stated in the booking information.
For mixed-age workshops requiring a participating parent or guardian, both the child and adult must have their own ticket unless otherwise stated.
Children must remain under the supervision arrangements specified for the relevant session.
8.3 Liability
We take reasonable precautions to provide safe and professionally delivered services.
Participants acknowledge that dance involves ordinary physical activity risks.
Nothing in these terms excludes or restricts liability for death or personal injury caused by negligence, fraud, or any other liability that cannot legally be excluded.
We are responsible for losses caused by a failure to exercise reasonable care and skill or another breach for which we are legally liable.
We are not responsible for losses caused solely by circumstances outside our control where the law does not impose liability on us.
Your statutory rights remain unaffected.
8.4 Insurance
Desi Beats Dance Company Ltd maintains Public Liability Insurance and Professional Indemnity Insurance.
Evidence of relevant insurance can be provided where reasonably required for venue, school or corporate bookings.
8.5 Appropriate Clothing
Participants should wear comfortable clothing suitable for dance and movement.
We recommend:
Comfortable clothing that allows freedom of movement
Suitable footwear, as advised for the session
Bringing water to stay hydrated
Any specific dress requirements will be communicated before the workshop.
8.6 Behaviour and Conduct
We are committed to creating a welcoming, inclusive and respectful environment.
All participants, guests and attendees must:
Treat instructors, performers and other participants with respect
Follow reasonable safety instructions
Avoid disruptive or unsafe behaviour
Respect the venue and equipment
Zero Tolerance Policy
We operate a zero-tolerance approach to sexual harassment, discrimination, bullying, intimidation, threats and abusive behaviour.
This includes unwanted physical contact, verbal abuse, offensive language or conduct that makes others feel unsafe.
Where serious misconduct occurs, we may:
Remove the individual from the session or event
Pause or stop the activity
Refuse future bookings where justified
Report serious incidents to the appropriate authorities
Any refund or cancellation charge arising from an interrupted service will be assessed fairly, taking account of the circumstances and applicable law.
8.7 Safeguarding
We are committed to safeguarding children, young people and vulnerable participants.
We follow appropriate safeguarding practices and ensure that instructors undertaking relevant activities have the checks required for their roles.
Safeguarding concerns will be handled appropriately and referred to relevant authorities where necessary.
9. Photography, Filming and Social Media
9.1 Photography and Filming by Desi Beats Dance
We may take photographs and videos during workshops, performances and events for promotional and business purposes.
Where we intend to capture identifiable individuals for promotional use, we will provide appropriate notice and seek consent where required.
Photographs and recordings may be used on:
Our website
Instagram, Facebook, TikTok and other social media platforms
Organic social media posts
Paid advertising and promotional campaigns
Other relevant marketing materials
We will respect requests not to be included in promotional filming and will make reasonable arrangements to support participant privacy.
9.2 Opting Out
If you do not wish to be photographed or filmed, please inform us before the workshop or event.

Where consent is the lawful basis for using identifiable footage, you may withdraw that consent by contacting us.
Withdrawal will not affect processing already carried out lawfully before the withdrawal.
9.3 Participants Under 18
Photography and filming involving children and young people will be managed in accordance with applicable safeguarding and data protection requirements.
Appropriate parent or guardian consent will be sought where required.
9.4 Filming by Participants
Personal photography and filming may be restricted during workshops to protect the privacy and comfort of participants.
Some sessions operate a no-filming policy.
Please check the booking information and ask your instructor before recording during a session.
Where filming is permitted, participants must respect the privacy of others.
9.5 Intellectual Property and Choreography
Original choreography, teaching materials, custom music edits, videos, branding and other original creative work developed by Desi Beats Dance remain our intellectual property or that of the relevant rights holders.
Participants may practise choreography taught during workshops and use recordings for personal reference where filming is permitted.
Wedding choreography clients may perform their agreed choreography as part of their wedding celebrations.
9.6 Commercial Use
Our original choreography, custom teaching materials and creative resources must not be reproduced, sold, taught commercially or otherwise commercially exploited without prior written permission.
This does not restrict uses permitted by law or rights held independently by the participant.
Customers must not use the Desi Beats Dance name, branding or logos in a way that falsely suggests an endorsement or commercial association.
9.7 Music Rights
Music used in workshops and performances may belong to third-party copyright holders.
We do not transfer ownership or licensing rights in commercially released music.
Customers remain responsible for obtaining any licences required for their own use of music or recordings.
10. Circumstances Beyond Our Control
Occasionally, circumstances outside our reasonable control may affect our ability to deliver a booking.
These may include:
Severe weather or natural disasters
Government restrictions
Public health emergencies
Unexpected venue closures
Significant travel disruption
Other circumstances beyond our reasonable control
Where such circumstances arise, we will notify affected customers as soon as reasonably possible.
We will make reasonable efforts to rearrange the booking or offer suitable alternatives.
Where the agreed service cannot be provided, any refund, credit or other remedy will be determined in accordance with applicable law and the circumstances of the booking.
Nothing in this section limits your statutory rights.
11. Data Protection and Privacy
We are committed to protecting your personal information.
Personal data collected through enquiries, bookings, payments and participation will be processed in accordance with applicable UK data protection law and our Privacy Policy.
We use personal information where we have an appropriate lawful basis, including to administer bookings, provide services, comply with legal obligations and send marketing communications where permitted.
Marketing preferences can be updated by contacting us or using the unsubscribe option where provided.

We aim to provide enjoyable, professional and welcoming experiences.

13. Your Consumer Rights
Nothing in these Terms & Conditions affects your statutory rights under UK law, including the Consumer Rights Act 2015 where applicable.
Services must be provided with reasonable care and skill.
Where a service does not meet the required legal standards, customers may be entitled to appropriate statutory remedies.
Certain leisure activities booked for a specific date or period may be exempt from the usual 14-day cancellation period for distance contracts.
Where a statutory cancellation right does apply, it will take precedence over any conflicting provision in these terms.
14. Changes to These Terms
We may update these Terms & Conditions to reflect changes in our services, legal requirements or business practices.
Updated terms will be published on our website with a revised date.
Bookings will generally remain subject to the terms accepted at the time of confirmation.
Changes will not apply retrospectively to confirmed bookings unless mutually agreed or required by law.
15. Governing Law and Jurisdiction
These Terms & Conditions are governed by the laws of England and Wales.
Any disputes will be dealt with by the courts that have jurisdiction under applicable law.
Nothing in this section restricts any mandatory rights available to consumers.
16. Entire Agreement
These Terms & Conditions, together with the agreed quotation, booking confirmation and any specific written agreement, form the basis of the contract between the customer and Desi Beats Dance Company Ltd.
Where specific booking terms have been individually agreed in writing, those terms will take precedence over the relevant standard provisions to the extent permitted by law.
If any provision is found to be invalid or unenforceable, the remaining provisions will continue to apply.
