3.2 Payment Methods

We accept the following payment methods:

Bank transfer

Card payment (debit/credit)

Cheque

Cash (for private events only - weddings, hen parties, private workshops, and corporate events)

Drop-in workshops must be paid for via our online booking system.

3.3 Pricing

All prices are stated in British Pounds (GBP). Prices are subject to change, but any booking made will be honoured at the price quoted at the time of booking.

4. Drop-In Dance Workshops

4.1 Booking and Payment

Drop-in workshops must be booked and paid for in advance through our booking system. Payment is required at the time of booking to secure your place.

4.2 Cancellation and Transfers by Participants

We understand that plans change! If you are unable to attend a workshop you have booked:

One-Time Transfer: You may transfer your booking to another available workshop of the same type and price point at no additional charge. This transfer is offered as a one-time courtesy per booking.

- Transfers must be to a workshop of equal or lesser value

- Your credit equals the total amount paid (including booking fees), not the advertised workshop price

- If you wish to transfer to a more expensive session, you may do so case-by-case at our discretion, and you will be required to pay the difference between your credit and the new session price

Frequent Transfers: If you frequently request transfers, Desi Beats Dance reserves the right to decline future transfer requests at our discretion.

No Refunds: Refunds are not available for drop-in workshops. If you do not transfer your booking or attend the workshop, the payment is forfeited.

To request a transfer, please contact us as soon as possible via email or phone.

4.3 Cancellation by Desi Beats Dance

In the unlikely event that we need to cancel a workshop (due to instructor illness, venue issues, or unforeseen circumstances), you will be offered:

A full refund of your workshop fee, OR

The option to transfer your booking to another available workshop at no additional charge

We will notify you as soon as possible if a workshop needs to be cancelled and work with you to find a suitable solution.

4.4 Late Arrivals

We welcome you to join a workshop even if you arrive late. However, please be mindful of other participants and enter the studio quietly to avoid disruption. For your safety and to get the most out of the workshop, we recommend arriving on time for the warm-up.

Please note: Our zero-tolerance behaviour policy (Section 8.6) applies to all drop-in workshops. Any participant engaging in inappropriate, disruptive, harassing, or abusive behaviour will be immediately removed without refund.

5. Wedding Choreography Services

5.1 Booking and Deposit

Wedding services require a 50% non-refundable deposit to secure your wedding date. The deposit covers initial planning, rehearsal allocation, creative preparation, and reserves the date exclusively for you.

Once the deposit is received, your wedding date will be confirmed and protected in our calendar. We will then begin the creative planning process tailored to your celebration.

5.2 Final Payment

The remaining 50% balance is due 30 days before your wedding date. If the booking is made less than 30 days before the wedding, full payment is required at the time of booking.

5.3 Late Payment

If the final balance payment is not received by the due date, a late fee of 10% of the outstanding balance or £250 (whichever is greater) will be charged. If payment remains outstanding 7 days before your wedding date, we reserve the right to postpone the event until payment is received in full.

5.4 Performance Timing and Schedule Delays

For all performances, Desi Beats Dance will perform at the agreed-upon scheduled time as confirmed in your booking.

You are responsible for adhering to the agreed schedule and ensuring your event runs on time. Our performers will arrive and be ready to perform at the scheduled start time.

If your event or performance is delayed more than 15 minutes beyond the scheduled start time due to circumstances within your control (event running over, late guest arrivals, schedule changes, etc.), Desi Beats Dance reserves the right to charge a late fee of £150 per additional hour (or part thereof). Desi Beats Dance may also reduce or modify the performance scope if time becomes insufficient.

If delays are caused by circumstances beyond your control (venue issues, emergency, traffic, etc.), we will work with you to accommodate the new timing at no additional charge, subject to performer availability.

Late fees must be settled before performers leave the venue, or the outstanding balance will be invoiced and due within 14 days.

5.5 Cancelled or Missed Performances Due to Schedule Delays

If any scheduled performance cannot be completed due to delays caused by your event running behind schedule (circumstances within your control), no refund will be given for the cancelled or unperformed services.

If the full balance has not been received at the time of the event, the outstanding balance for all performances (including any cancelled or unperformed) remains due in full and must be paid in accordance with the payment terms outlined in this agreement.

Desi Beats Dance is not responsible for rescheduling missed performances. The full fee paid or payable remains non-refundable.

Example: If three performances are booked at 8:30pm, 9:15pm, and 10pm, but delays mean only the first two can be performed, no refund will be given. If the balance payment is outstanding, the full balance for all three performances must still be paid in full.

5.6 Cancellation Policy - Wedding Services

Important: The 50% deposit is non-refundable under all circumstances, as it secures your date and covers the planning and creative work already undertaken.

The tiered cancellation structure applies to the remaining 50% balance only:

More than 60 days' notice: Deposit retained, with no further charges.

30-60 days' notice: Deposit retained, plus 50% of the remaining balance is payable.

Less than 30 days' notice: Deposit retained, plus the full remaining balance is payable.

Cancellation notice must be provided in writing via email.

5.7 Changes to Wedding Date

If you need to change your wedding date, we will do our best to accommodate the new date, subject to availability. If the new date is available, your deposit will be transferred. If the new date is not available, standard cancellation terms apply.

5.8 Guest Conduct and Performance Cancellation

You are responsible for the conduct of your guests and attendees during the performance. Desi Beats Dance reserves the right to immediately stop or abandon the performance if any guest or attendee engages in inappropriate, harassing, discriminatory, abusive, or disruptive behaviour. In this event, no refund or partial refund will be given. All fees remain non-refundable in such circumstances.

6. Hen Parties, Private Lessons & Private Workshops

Hen parties, private lessons, and private workshops are quoted on a case-by-case basis. Each booking is unique, and we work with you to create a package that meets your specific needs, group size, and preferences.

6.2 Booking and Payment

To secure your booking, we require either:

A 25% non-refundable deposit, OR

Full payment upfront (your choice)

The deposit is non-refundable as it secures your date and covers planning and preparation.

6.3 Final Payment

If you choose to pay a deposit, the remaining balance must be paid in full 14 days before your booking date or first session.

6.4 Late Payment

If the final balance payment is not received by the due date, a late fee of 10% of the outstanding balance or £100 (whichever is greater) will be charged. If payment remains outstanding 7 days before your event, we reserve the right to postpone or cancel the booking until payment is received in full.

6.7 Cancellation Policy

The deposit (25% or full payment if paid upfront) is non-refundable in all circumstances. If you need to cancel after paying the deposit:

The deposit is retained

Any remaining balance (if not yet paid) may be subject to cancellation fees depending on notice given

We understand that plans change, and we will do our best to work with you to find alternative solutions where possible, such as rescheduling to another available date, subject to availability.

6.8 Guest Conduct and Performance Cancellation

You are responsible for the conduct of your guests and attendees during the session or performance. Desi Beats Dance reserves the right to immediately stop or abandon the hen party if any guest or attendee engages in inappropriate, harassing, discriminatory, abusive, or disruptive behaviour.
